General Instructions Regarding Conduct of Meets
1 - A participant will be eligible to participate at a time in :
a - One field and two track events OR
Two field games and one track events
2 - The age will be determined according to various group as on 01-07-2011.
3 - Each participant must be provided identification card individually and age verification duly countersigned by the Principal to the escort for the entire group of participants which is to be presented at the venue of the meet in the following proforma.

4- Each Cluster will have its set of Flags in the following colours
- Cluster A - Steel grey and bottle green in the size of 110 x 75cm.
- Cluster B - Cherry red and mustard in the size of 110 x 75cm.
- Cluster C - Navy blue and pink in the size of 110 x 75cm
- Cluster D - Yellow and violet in the size of 110 x 75cm.
5- Each Cluster team will bring 3-3 sets of each colour Flags (total 06). The Flag must have emblem of NVS in the middle with print of NVS Bhopal Region in semi circle and name of the cluster below the emblem. One main Flag 150 x 75 cm. will be provided to the venue for hoisting at common place for opening and closing ceremony. These Flags will be preserved as asset after the meet is concluded.
6- All the events and games will be played by following the rules of IOA(Indian Olympic Association)
7- Procedure for selection of team
Selection committee of cluster and Regional teams will be as follows :-
- One senior most male PET (available at the venue)
- One senior most female PET (available at the venue)
- The vice-principal / Sr. most teacher of the Vidyalaya
- One out-side expert having, common concept of games and sports preferably district sports officer.
The meeting will be chaired by the Principal and the entire process of selection will be under his/her supervision without entertaining any pressure.
8- Escorting of the contingents
The Principal will see that only PETs are to escort the teams. In case number of teams are more than number of PETs the Principal will decide the escorts other then PETs but strictly they should have interest in Games & Sports. The duty should be decided in very honest and judicious manner. No Group-D employee/ lab attendant / ECP/ Matron will be the escort. If external staff will be needed the Principal of the Cluster should be requested to spare their PETs/ Teachers but the entire planning is to be done in advance by venue Principal. Only one person should not be engaged for the purpose.
9- TA/DA of the participants and escorts
- TA/DA will be strictly as per Samiti’s rule.
- The DA of the participants during meet will be charged as per the usual expenditure of Mess per child per day.
- If coaching camp is held for national games and sports the Principal may discuss with Deputy Commissioner if any special expenditure is needed.
10- Participants will carry school/cluster/regional flag, light bedding one tumbler, one plate, sports material etc. as required for them.
11- Participants will be in white uniform for sports meet. Boys- White shirts, White shorts, white socks and white shoes. Girls- White blouse, White Skirt, White canvas shoes and white ribbon.
12- It is to be ensured that “March Past” should be of high standard
13- It is to be ensured that record of first three positions in trial and first five position in regional meet are to be recorded and be reported after the meet.
14- A full but brief report in duplicate of Cluster Meet & the brief report of regional meet along with a set of 15 photos of Regional meet may be sent to Regional Office Bhopal.
15- A meeting of PETs shall be conducted at each level; discussion thereof shall be recorded in the form of minutes and forwarded to RO alongwith the report.
16- Each venue JNV organizing cluster, Regional and National events shall procure rule books of Games and Sports for verification at any point of difference/discussion. Technicalities involved in sports event shall always be highlighted with placards on notice boards.
17- Sports kit will be provided by the venue Vidyalaya for national meet. However the track suit will be provided by the Regional office. The size of the track suits will be provided by the venue Vidyalaya of Regional Meet after selection is made for Nationals, to Regional Office.
18- Each Vidyalaya will have to deposit Rs. 2000/- for each participant if selected for Regional Meet and Rs. 3000/- for each participant selected for National meet. Please note that this amount will be deposited to the venue Principal before the teams leave for onward participation. Hence anticipating the no. of participants in Regional /National meet PETs should be provided with sufficient amount to be deposited for the purpose. The venue Principal receiving the amount will submit account of expenditure to each Vidyalaya which sends the participants. In case of shortage or excess expenditure, reimbursement or recovery will be made from respective JNV/ JNVs .
In order to give boost to the games and sports and to encourage the participants, the Show should be organized in a gracefully befitting manner by inviting District Magistrate (Chairman VMC), other dignitaries, MPs, MLAs, Local educationists and social workers.
